Welcome Speakers at the World Congress

We are delighted to welcome you as a speaker at the IUFRO World Congress 2024. This page provides you with all the practical information you need to deliver a successful and impactful oral presentation.

Below, you will find guidelines and tips to enhance your presentation, alongside essential technical and logistical details. Please note the deadline, June 19th, for submitting your presentation.

Presentation Guidelines

  • Present yourself with name, title, institution/organization and country. Keep it short. Do not add your resumé or other background info irrelevant to the topic.
  • Begin with a clear introduction of your topic, followed by the main content, and conclude with a summary and/or call to action.
  • Avoid idiomatic expressions since the audience does not share the same cultural context and connotations.

Designing Your Presentation

  • All presentations must be made in MS PowerPoint.
    • Feel free to use our template to ensure the technical requirements are met.

    • If you are using an Apple computer and the Keynote-program you need to export your presentation as an PDF.
  • Use high-contrast colors for readability.
  • Use bullet points to keep the slides concise.
  • Incorporate visuals like graphs, images, and charts to support your narrative.
  • Avoid pictures as background with text overlay.
  • Ensure graphics are high resolution to maintain quality on large screens, 300 ppi (pixels per inch) is recommendable.
  • Use common sans-serif fonts such as Arial, Calibri, Tahoma or Verdana. Use font size 26 or higher.
  • Use the 16:9 format, landscape mode (default on MS Powerpoint)
  • Add a “Photos not allowed” on slides you do not want to share. Feel free to use this image in your presentation Download png-image “Photos not allowed” (for ppt scale down to around 20%)
  • Keep track of your time and make sure you finish on time. The schedule is tight and allows no exceeding of the allotted time.

Uploading Your Presentation

  • Please upload your presentation through our secure speaker portal. To log in, use the e-mail address you entered when you registered.
  • Watch the tutorial to get it right.
  • The deadline has been extended to June 19th, 23:59 CEST.
    Please note that the online submission portal will close after June 19th, meaning no further presentations can be uploaded after this date. It is essential that your presentation is uploaded in time to ensure all preparations can be completed before the Congress begins.During the Congress, a “Speakers’ Centre” will be available with on-site technical staff ready to assist you to make last minute changes to your presentation. They can also troubleshoot any technical issues and ensure compatibility with the Congress AV systems..

Uploading Your Poster (pdf)

  • Please upload your presentation through the abstract system. To log in, use the e-mail address you entered when you submitted your abstract.
    • There’s a “Forgot password?” function in case you have forgotten your credentials.
    • Note that it is the original submitter of the abstract (not the presenter) that needs to upload the poster.
  • Once logged in, navigate to “Upload poster”, select your PDF, and confirm the upload.
  • It is not necessary to upload the poster through the speaker portal (used for oral presentations only).

Technical Specifications

  • Each room is equipped with a presentation laptop. You cannot use your own computer. Your presentation is prepared and made ready by our technical team.
  • Each room has a fixed podium microphone. The large session rooms, where several speakers are on stage, also have additional wireless headset microphones and wireless handheld microphones.
  • Each room has preview monitors and slide advancers / presentation clickers.
  • Technicians will be available to assist with setup, operation, and troubleshooting throughout the event.
  • All the technical session rooms will be arranged according to a classic theatre-style seating setup. On stage, there will be either a lectern or a standing table, two podium tables, and four chairs. Unfortunately, we cannot accommodate individual requests to make changes to the stage or room layout.
  • All the sub-plenary session rooms will be arranged according to a classic theatre-style seating setup. The stage will feature a lectern equipped with a microphone and a panel setup consisting of a long table with six chairs. Additionally, there will be one handheld microphone and three headset microphones available for use.

Speakers’ Centre

The Speakers’ Centre at the congress will provide a comfortable and efficient environment for presenters to prepare for their sessions. The room is easily accessible and equipped with the following features:

Technical Assistance On-site technical staff are available to assist if you need to change your already uploaded presentation, troubleshoot technical problems, and to ensure compatibility with the conference AV systems.

Handling Disturbances and Activism

  • Stay calm and professional.
  • If an interruption occurs, pause briefly, and address the audience courteously with a focus on continuing your presentation.
  • In case of significant disturbances, event security will manage the situation promptly. Pause the presentation and leave the stage.

Additional Tips

  • Rehearse. Practice your presentation multiple times. Familiarize yourself with the flow of your slides.
  • Engage your audience. Make eye contact, ask rhetorical questions, or use polls to keep the audience engaged.
  • Polls can be conducted via the Congress App.

Let people know about your presentation in advance. Download any of the cards presented below, to be used for social media, and tell people in your network a little about yourself and what you will talk about. Don’t forget to add the Congress hashtag #IUFRO2024 to all your posts!
